What Information Is Needed to Quote a Discontinued MRO Part?
A discontinued industrial part can sometimes be reviewed even when the original manufacturing package is incomplete. Quotation quality depends on how clearly the available design evidence, critical interfaces, application, quantity, material and final condition, and acceptance requirements are defined.
A maintenance engineer or buyer may have a drawing, model, physical sample, photographs, an equipment reference—or only a worn existing part. Incomplete information does not automatically prevent an initial feasibility review. It does mean that unknown design intent must be identified and clarified rather than invented.

Can You Request a Quote Without the Original Drawing?
Yes, an initial request may begin without the original drawing when enough alternative evidence is available to understand the part and its application. Useful starting evidence can include:
- a 2D drawing or partial drawing;
- a 3D model;
- a physical sample;
- overall and detail photographs;
- the OEM or original equipment brand;
- a part number or other reference;
- machine, gripper, or assembly identification;
- mating-part information;
- maintenance records, service notes, or previous revisions where relevant.
A sample or photograph may support an initial review, but it does not automatically provide complete geometry, material, tolerances, datums, final condition, or original design intent. Three information thresholds should not be confused:
Available evidence, application, quantity, and major unknowns may be enough to begin a feasibility discussion.
Key geometry, interfaces, material or final-state assumptions, quantity, and acceptance needs may require clarification.
The applicable geometry or revision, critical features, final condition, quantity, acceptance basis, and deviations should be agreed.

Part Identification
Identify what the part is and where it belongs.
- Part name or type
- OEM or original equipment brand, if known
- Part number or reference
- Machine, gripper, or assembly model where relevant
- Revision or serial information when compatibility may depend on it
Brand references establish application context. They do not imply OEM authorization, OEM equivalence, or endorsement.
Available Technical Information
State exactly what is available and what is missing:
- 2D drawing
- 3D model
- Physical sample
- Photographs
- Existing part only, with no drawing
Note conflicts between files or uncertainty about which revision is current.
Required Quantity
Separate the initial validation need from expected repeat demand where known. For example, identify whether the inquiry concerns a first article or trial quantity, an immediate replacement quantity, and a possible repeat quantity.
This information supports process and quotation review; it does not imply a universal MUXI minimum order quantity.
Material
Provide the specified material and grade when known, together with existing documentation if available. If the material is genuinely unknown, state “unknown” and describe the application conditions that may affect selection.
Do not identify an unknown sample material from appearance alone. This guide does not claim that MUXI owns or operates material-analysis or laboratory equipment.
Surface Treatment, Coating, and Final Condition
Record known requirements for coating, plating, heat treatment, other surface treatment, pads or inserts, and final assembled condition where relevant.
These are RFQ information categories—not a list of treatments guaranteed to be available. The required final state and sourcing feasibility must be reviewed for the project.
Critical Dimensions, Interfaces, and Tolerances
Identify features that control assembly or function:
- Mounting holes and datums
- Fits, threads, and mating surfaces
- Contact geometry and clearances
- Other function-critical dimensions
Provide known tolerances from controlled evidence. Do not assign a tolerance merely to fill an RFQ field.
Application and Part Function
Explain where and how the part works:
- What does it contact, locate, support, or mate with?
- Is it stationary or moving?
- What failed, wore, or became unavailable?
- Are collision, clearance, load, temperature, contamination, corrosion, cleanliness, or marking concerns relevant?
- Is it part of a matched pair or assembly?
These are information requests, not claims that every resulting requirement can be supported.
Inspection and Acceptance Requirements
Identify known critical checks, acceptance criteria, and evidence needed by the buyer. Inspection scope and documentation are project-specific and should be agreed before manufacturing.

Label unknown information as unknown rather than guessing. Useful statements include:
- “Material unknown; existing sample available.”
- “Original tolerance unknown; mating component information attached.”
- “Finish unknown; operating environment described.”
- “Drawing revision uncertain; current installed part photographed.”
- “Measured dimension is from a worn area and may not equal the original dimension.”

Neither route is automatically manufacturable. Both depend on whether the available evidence can establish a suitable quotation and manufacturing basis.
Information Needed Before Manufacturing May Be Greater Than Information Needed for Initial Review
An initial review may begin from incomplete evidence. The objective is to determine what is available, what is missing, and whether further clarification is reasonable.
Before quotation, enough information must exist to define a defensible quotation basis. Depending on the project, that may require clarification of geometry, critical interfaces, material or final-state assumptions, quantity, inspection needs, and responsibilities for unresolved items.
Before manufacturing, the applicable approved geometry or revision, material and final-state requirements, critical interfaces, acceptance basis, quantity, and agreed deviations should be controlled as relevant to the part. These are not rigid universal gates; the required depth depends on the application and risk.
